The monthly OSAF Representatives meeting for the month of June, 2010 was held in CRULP Meeting Room, FAST-NU, Lahore Campus, on Saturday, June 5th, 2010.

Discussion Items:

  1. Jamil Malik Welfare Fund – Discussion on Account Status. Also included in the discussion, and agreed by all members, was that how people should donate depends solely on them.
  2. EE Mock Interviews/Guidance session. The session was very well appreciated by the students
  3. Different Ways to catalyze funds collection. It was agreed by all that we need proper presentations [formal or informal] in offices[CambridgeDocs, Techlogix, etc.]. We need to work more on communication & presenting our case in a better way.
  4. Absentees and the lower percentage with regard to attendance of members in meetings was noted and the Secretariat was requested to share the Absentees report.
  5. Farewell to Dr. Sarmad. It was agreed that we should first take time from Dr. Sarmad and then make it public at different Alumni Forums.
  6. OFA Collections Status- Local Collections: 1,36,000; Saudi Arabia: 99,000; Ireland: 10,000

Action Items:

  1. A separate Bank Account is required for Jamil Malik Welfare Fund like funds. It is on the wishlist and is not possible currently.
  2. Sharing By-Laws and names for University Provided Alumni Cards. Salman, Mahrukh, Umair to follow up with Director. Preparing List of Students/Aluminis to be done by Burhan Rasool
  3. Curriculum Committee- Umer Suleman to talk to Dr. Durrani
  4. Farewell to Dr. Sarmad – Date/Time to be decided. To be announced on Sahics_all
  5. Next month’s meeting time shifted to 2.00 P.M. i.e. after Zuhr

US & Lahore Chapters Meet

Minutes:

1. How to establish a shared commitment for various FAA programs including Scholarship program
It was agreed that we should allocate only the amount of money that we have in our Bank Account for the Students Assistance Program.
We should not have any liabilities because of over-allocations.
All commitments made to FAST-University should be shared amongst all chapters of the Alumni Association.
Funds from FAA-NA are expected before June 30, 2010.
FAA-NA is in the process of registering itself with Federal US Government

2. Unified online presence of FAA (portal)
We need to set up mailing list and discuss the details of how to ensure that we could have single Alumni Portal, where all FAST Alumni Sites would redirect to, like the following:

In this regard, the option of using FAN (FAST Alumni Network) Portal was discussed along with the option of building our own custom built portal along the way, to have more control over the application and its data. Further details in this regard would be discussed over emails.

3. How to make each chapter autonomus and encourage to run programs
To be discussed over email (after making mailing list)

4. Establishing FAA NA rep in Pakistan
FAA-NA needs a person to represent them in Pakistan. The representative would be Coordinating and communicating with all 4 chapters and maintaining account records. Current FAA-NA process model is that of collecting funds and distributing funds based on preference of Campus. Burhan will take up the initial responsibility till we find someone else willing to take this up.

5. FAA Global Board email alias that contains email lists of all board members of each chapter:
We need to setup proper emailing communication channel. In this regard, it was agreed that we should have groups in the following formats:
1) FAA-EXEC – only contains 8 of those – this is for exclusive assignments, decision making etc
2) FAA-ALL – should contain faa-na, faa-khi, faa-lhr, faa-isb, faa-pwr, faa-exec – this is for general alumni activities
